Belt levels, test fees and tuition for your martial arts school

In a dojo, tuition is the easy part. The hard part is who trains how often, who is ready to test and who owes the test fee. Membrix keeps attendance, belt level and one-off charges on each student's record.

Situations that only come up in martial arts schools

The belt test only costs money for the students who test

Twelve students test in December, and the other sixty do not. Use “Add charge” (Agregar cargo) to select the twelve, choose Event as the concept and set the fee and due date. It lands on those accounts as its own line, separate from monthly tuition, and nobody else sees a thing.

Who is ready to test?

Attendance is stored session by session on every student's record, so you can see how often someone has actually trained since their last belt. Membrix doesn't calculate eligibility or move the belt for you, but it gives you the record. On Pro, the Attendance report summarizes rates by class, and you can record each promotion decision with a date and a note.

Karate on Monday, jiu-jitsu on Saturday

Each discipline can be its own program with its own price, and a student enrolled in both keeps one account with one combined balance. Classes can have a different instructor on each day, so the sensei of the weekday class and the coach of the Saturday class don't need separate groups.

Kids at five, adults at eight

Create one class per age group or belt level, each with its own time, capacity and instructor. A custom field such as “Belt” can be a list of options and used as a filter in Students and Payments, so you can pull up every green belt in a second.

How martial arts schools use Membrix

  1. 1

Create programs by discipline or level

“Karate kids”, “Karate adults”, “BJJ fundamentals”: each with its own monthly price and billing day. Add a one-time registration fee that is charged when a student enrolls.

  2. 2

Record belt and other details as custom fields

Add a “Belt” field as a list of options, plus anything else you track such as uniform size. Fields can be used as filters in Students and Payments.

  3. 3

Charge tests, uniforms and events on top

Use Add charge for the belt test, the gi or a tournament, choosing the concept and the amount. Selling gear at the front desk is easier with Pro inventory, which tracks stock and can attach a sale to a student.

  4. 4

Take attendance and prepare test day

Instructors mark attendance from the web portal. Before testing day, review each student's history, then use Pro announcements to tell students the date and what to bring.

What Membrix doesn't do

So you know up front whether it fits.

  • Membrix doesn't run tournaments: no brackets, rankings, weight classes or scoring. A tournament fee is just a charge on an account.
  • It doesn't decide who is ready for a belt. It keeps the attendance history and the decision you record; you decide.
  • It doesn't track federation or insurance registrations beyond what you store in custom fields.
  • The mobile app, reminders and the QR kiosk are Pro. The app, the dashboard and the automatic messages are in Spanish.

Frequently asked questions about Membrix for martial arts schools

Can I sell uniforms and gear at the front desk?

+

With Pro inventory you keep stock of uniforms and gear per location and record each sale either as paid on the spot or as owed by a student, which creates a charge on their account with a due date. On the free plan, use Add charge for the uniform and keep track of stock yourself.

Does Membrix work for several disciplines in one school?

+

Yes. Karate, jiu-jitsu, taekwondo or kickboxing can each be a program with their own classes, instructors and prices. A student who trains in two of them stays on one account, and the balance adds up both programs.

Where do I record each student's belt?

+

Add a custom field called Belt, as a list of options that you define, and set it on each student. It can be used as a filter in the student list and in Payments. Updating it after a test is a manual step, since Membrix doesn't promote students automatically.

Can instructors take attendance from their phones?

+

Yes. Instructors sign in to the web portal from a phone browser, see the classes assigned to them for the day, and mark each student. The dedicated mobile app is a Pro feature. Instructors only see attendance, not payment amounts or contact details.

How do adult students and minors differ in Membrix?

+

Each student is recorded as an adult or a minor. When someone signs up through the registration form, the first question is whether they are the student or a guardian, and a guardian is asked for their own name too. One login can see every student linked to it.
